Membership Club Websites: How to Handle Renewals, Fixtures, and AGM Docs Online

Membership clubs in the UK — sports, social, professional, cultural — share a common pattern: a small, dedicated committee carrying a disproportionate admin load. A modern membership website reclaims most of that time without changing how the club operates.

The three workflows that dominate committee time

In our experience auditing club websites, three workflows account for 70-80% of committee admin:

  • Annual renewals — chasing members, processing payments, updating contact details
  • Fixture or event coordination — publishing, communicating changes, attendance
  • AGM and governance — circulating papers, collecting votes, archiving decisions

Each of these can be self-service for members and admin-light for committee through a properly built members portal.

Renewals done right

What good looks like:

  • Members log in to a portal, see their current status and expiry date
  • One-click renewal with card or direct debit (GoCardless for recurring is usually right)
  • Family memberships handled in a single transaction
  • Junior membership flow with parent consent and DBS handling where needed
  • Automated reminders 60/30/14/7 days before expiry
  • Committee dashboard showing arrears, expiring soon, churn

This turns a 12-hour annual exercise into a 30-minute committee review.

Fixtures and event coordination

Two patterns work:

  • Pull from your league's data feed — most UK sports governing bodies (FA Full Time, England Hockey Match Centre, RFU/WRU online fixtures, ECB Play-Cricket, England Athletics) provide a feed or API
  • Internal calendar with member RSVP — for socials, AGM-style events, away trips

The website is the source of truth that members and visitors check. WhatsApp and Facebook groups are for discussion, not coordination.

AGM and governance documents

A members portal should host:

  • Constitution and by-laws (current version, history available)
  • Meeting minutes for the last 5 years minimum
  • Annual accounts and AGM papers (gated to members where appropriate)
  • Safeguarding policy and DBS records (admin-only)
  • Equality and inclusion policies

This satisfies governing-body audit requirements and replaces the volunteer secretary's filing cabinet at home.

Communications

Bulk member emails by team, section or interest. A simple announcement system on the homepage. Optionally SMS for urgent changes (weather, fixture cancellations). The pattern that fails: trying to replicate full email-marketing complexity. Keep it simple, audited and segmentable.

What it costs

Standard members portal with renewals, fixtures, document library and basic admin: £3,500-£5,500. Add payment processing, family management, governing-body integration: usually £5,500-£8,000 total. Annual running costs (hosting, processing) typically under £500/year on top of payment fees.

For comparison: per-member SaaS platforms typically cost £3-£8 per member per year. For a 300-member club that's £900-£2,400/year recurring, vs a one-off £5,000 build that pays back in 2-3 years and you own.

Common mistakes

  • Building everything at once — phase the portal after the marketing website
  • Picking a tool nobody on the committee can actually use
  • Underestimating data migration from existing spreadsheets
