The short answer
A client portal is a secure, branded area of your website that authenticated users — your clients, members, patients, students — can log into to do specific things you don’t want the public to see or do. That’s it. The interesting part is what they replace.

What client portals replace
Most small businesses use a chain of insecure tools to do work that should sit behind a portal:
- Email attachments for sensitive documents
- Excel spreadsheets for membership lists
- DM threads for booking changes
- Shared Google Drive folders with link-anyone access
- Whiteboards in the back office
Each of those is a GDPR exposure waiting to happen. A portal collapses them into one branded interface with audit trails.
Common patterns
Document upload. Accountants use this for tax docs. Solicitors for case files. Healthcare practices for ID and consent forms. Built well, this is the highest-ROI portal feature in any regulated business.
Membership. Sports clubs and gyms use portals for renewals, registrations and family-account management. Members pay, update contact details, and register juniors without committee time.
Two-sided ordering. B2B businesses run staff-facing and client-facing interfaces on a shared backend. We built this pattern for Ash Workwear — staff manage orders, clients self-serve catalogues and place repeat orders, both sides see the same source of truth.
Student / applicant tracking. Education providers use portals to walk applicants through admissions and current students through course progress. We built this for Accelerated Global Pathway with an AI-powered CRM behind it.
When a portal is worth it
A portal is worth it when one of three things is true:
- You’re handling regulated or sensitive data and email is no longer a defensible channel.
- You’re manually doing repeat work for the same authenticated users — renewals, registrations, status checks — that they could do themselves.
- You have a two-sided workflow where staff and clients both need a view of the same data.
If none of those apply, you probably don’t need one yet.
Security baseline
Every Bloomorbit portal ships Cyber Essentials-aligned by default: role-based access, encrypted data at rest and in transit, audit trails on every privileged action, SSO where it’s needed, session timeouts and CSRF protections. None of that is an add-on. It’s the floor.
What this typically costs
Our Client & Member Portal package starts at £3,500. That includes the secure portal itself, branded UI, role-based access, audit trails, and a maintenance plan. Bespoke AI-augmented portals (admissions CRMs, intelligent triage, lead-qualification systems) are priced on scope.
