How We Built an AI-Powered CRM for an Education Platform

Accelerated Global Pathway (AGP) is a UK education provider running international student admissions at a scale that made manual admissions processing increasingly untenable. They came to us looking for a platform that could triage applications, automate appropriate communications, and give admissions staff a single source of truth.

What we built

A full education platform with an AI-augmented admissions CRM behind it.

Public platform:

  • Course and programme pages with structured entry requirements and clear apply CTAs
  • Multi-step application capture with save-and-resume across sessions
  • Confirmation flows and applicant communications
  • Mobile-friendly throughout — international applicants apply on whatever device they have

Applicant portal:

  • Document submission with status tracking
  • Communications history visible to the applicant
  • Progress through the admissions stages
  • Notifications when staff action is needed

AI-powered admissions CRM (staff-facing):

  • Application triage with scoring and routing
  • Automated first-pass communications based on application stage and profile
  • Staff dashboard with funnel view and per-applicant timeline
  • Workflow automation for common admissions paths
  • Reporting on conversion rates, time-to-decision, drop-off points

How the AI works

The AI layer does specific jobs, deliberately fenced:

  • Triages applications on entry — scoring on eligibility, intent, fit
  • Routes to the right admissions officer based on programme and applicant profile
  • Drafts first-pass communications that admissions staff review and send (or edit and send)
  • Surfaces patterns across the funnel — common drop-off reasons, eligibility issues, timing trends

It deliberately does NOT make admissions decisions or send communications without human review. Education admissions is high-stakes for the applicant; the AI augments staff rather than replacing them.

What changed for AGP

The shift was from a process where admissions staff spent hours each week on triage and first-pass communications to one where they spend that time on applicant-facing work.

The AI handles the predictable, repeatable bit of the workflow; humans handle the bit where human attention matters most.

Specific outcomes belong to AGP to share, but the high-level pattern — streamlined onboarding, AI-augmented automation, single source of truth for admissions data — has changed the day-to-day shape of the admissions function.

What we learned

AI in regulated or high-stakes domains needs to be deliberately fenced.

Education admissions is high-stakes for the applicant. The AI helps staff move faster; it doesn't make decisions on its own.

The CRM is the centre of gravity.

A public platform without a CRM behind it is a marketing site. A CRM without the public platform is a back-office tool. The combination is what changes operations.

Document handling is harder than it looks.

International students upload qualification documents in many formats and languages. The portal had to handle that gracefully — partial submissions, file size handling, document categorisation.

What this kind of build typically costs

AI-augmented education platforms sit in our bespoke pricing tier — typically £15,000-£25,000 depending on scope. The AI work alone is a meaningful portion of that; off-the-shelf admissions CRMs don't replicate this kind of integration.
