When UK small businesses ask us how long a client portal takes and what it costs, the honest answer is "depends" — but not in the unhelpful way. There are predictable patterns. Here's how we'd answer the question if you were sitting across from us.

The standard timeline

For a standard client portal — authentication, role-based access, document upload and exchange, basic admin tools — we typically deliver in 2-3 weeks from signed scope. That's a realistic full-build, not a stripped-down demo.

The week-by-week pattern looks like:

  • Week 1: discovery, scope confirmation, design direction, environment setup.
  • Week 2: core build — auth, roles, primary workflows, admin tools, security baseline.
  • Week 3: content load, testing, UAT, deployment, handover.

For more involved builds (two-sided portals, AI integration, payment processing) it's typically 4-6 weeks. For genuinely bespoke platforms with multi-tenant requirements or regulated-sector compliance overlays, more — but those are scoped separately and we'll tell you straight if you're in that territory.

What pushes the price up

Five factors, in roughly order of impact:

  • Number of distinct user roles. A two-role portal (client + admin) is much cheaper than a four-role portal (client + account manager + supervisor + super-admin) because every role needs its own UI, permissions and tests.
  • Payment integration. Stripe or GoCardless is usually +£800-£1,500. If you need recurring billing, prorated charges, dunning logic, that's more.
  • Document handling complexity. Simple uploads are cheap. Document templates with auto-fill, e-signature integration, versioning and approval workflows add real cost.
  • Integrations with existing systems. CRM, accounting software, booking systems — each integration is typically £500-£2,000 depending on the API quality.
  • Compliance overlay. Cyber Essentials baseline is included; specific compliance (ISO 27001, NHS DSP Toolkit, FCA) requires more work.

What keeps the price down

  • Single-tenant architecture. Unless you're building a SaaS to sell, you don't need multi-tenancy. Skip it.
  • Stripe-hosted checkout over custom payment forms. Same UX for the customer, fraction of the build cost.
  • Reusing your existing domain and brand. A portal that lives at portal.yourdomain.tld doesn't need a separate brand identity.
  • Phasing the build. Ship the core in week 2-3, add nice-to-haves on subsequent phases. We almost always recommend this over big-bang.

Common mistakes when budgeting

  • Treating the demo as the spec. The demo is one workflow; the build needs all of them.
  • Underestimating data migration. You almost certainly need to import existing user records, and that's a project of its own.
  • Forgetting about training. Plan a half-day for staff training during week 3. Skipping this is how portals don't get adopted.
